Privacy Policy

This document sets out the rules governing the processing and protection of personal data of potential and current business partners (in particular, clients and suppliers) by ILUMIKA LED PANEL MANUFACTURE, hereinafter referred to as the Data Controller.

I. Definitions

  1. Cookies – means IT data, in particular small text files, saved and stored on devices through which the User accesses the Controller’s website.
  2. Website (Service) – means the website owned and operated by the Data Controller.
  3. Device – means any electronic device used by the User to access the Website.
  4. User – means any individual or entity who accesses the content and functionality of the Controller’s websites, or on whose behalf services may be provided electronically, in accordance with applicable law and the Website Terms of Use, or with whom an electronic services agreement may be concluded.

In processing personal data, the Controller applies the principles set out in applicable legislation, in particular the provisions of the General Data Protection Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (“GDPR”), the UK GDPR (as incorporated into UK law under the Data Protection Act 2018), and other relevant data protection laws.

IV. Purposes of Data Processing and Retention Period

The Controller processes personal data solely for the purpose of acquiring clients/suppliers, handling enquiries, quotations, orders, and contracts, providing after-sales support for goods and services, and sending personalised commercial information, in particular for the following purposes:

  • creating a user account on the Website,
  • personal, telephone, or e-mail contact,
  • sending requested informational, promotional, or marketing materials,
  • execution of an order or contract,
  • handling service or warranty claims,
  • after-sales support,
  • potential pursuit of legal claims,
  • adapting the Website to Users’ needs,
  • generating reports and analytical statistics on Website functionality and traffic.

Personal data shall be retained for as long as necessary to perform the relevant contract, including warranty and post-warranty service. Thereafter, data may be stored only for purposes of pursuing potential claims or sending personalised marketing information.

V. Scope and Method of Data Storage

The Controller collects personal data in the course of acquiring clients/suppliers, issuing quotations, executing orders/contracts, and providing after-sales services. The Controller may collect, among others: name and surname of an individual (including sole traders), address, tax identification number (NIP/VAT ID), name and contact details of the company’s representative, position, department, e-mail, and telephone number. When using the Controller’s online Services, the IP address of the User’s device may also be collected. Data is stored in a format that allows for its transfer.

Providing personal data is voluntary, but necessary for using certain Website functionalities, receiving offers, processing orders, contracts, or providing installation and maintenance services.

Personal data is not shared or transferred to unauthorised third parties, except where it is necessary to properly perform a contract, handle a complaint, warranty, or service request, or to send catalogues by traditional post. This may include cooperation with transport, courier, logistics, assembly, or service providers.

The Data Controller may also entrust the storage and/or processing of personal data, as referred to in this Privacy Policy, to entities providing hosting, automated marketing, or web optimisation services under a written data processing agreement.

Where a separate consent is given by the User, personal data may also be processed for the purpose of receiving commercial information, such as newsletters, sent to the e-mail address provided.

VI. Data Collected Automatically

The Controller informs that during the use of its Websites, certain data may be collected automatically through cookies or automated marketing systems.

Upon connection to the Website, system logs may record information such as the User’s IP address and the type of device used. Such data may be lawfully processed for technical purposes, to adapt the Website to Users’ needs, and to collect statistical information regarding Website performance.

The Controller uses cookies in order to:

  1. Configure and personalise the Website:
    • adapt the Website content to the User’s preferences and optimise its use,
    • recognise the User’s device and location to display the Website accordingly,
    • remember User-selected settings and personalise the interface (e.g. language or region),
    • store browsing history for content recommendations.
  2. Ensure full Website functionality:
    • enable technical processes required for optimal operation and display of the Website on the User’s device.
  3. Maintain Website security and reliability.
  4. Display multimedia content via external services such as www.youtube.com (cookies administered by Google LLC, USA).
  5. Collect aggregated statistical data via analytical tools such as Google Analytics (cookies administered by Google LLC, USA).
  6. Enable interactive functions promoting the Website via social networks such as Facebook.com (cookies administered by Meta Platforms Inc., USA / Meta Platforms Ireland Ltd.).
  7. Deliver personalised advertising content based on Users’ interests.

Users may change cookie or location-sharing settings at any time through their web browser. These settings may include blocking cookies altogether or notifying the User each time cookies are placed on the device. Users may also delete cookies at any time using their browser’s available options. Limiting cookies may affect certain Website functionalities.

VII. Right of Access, Rectification, Erasure, Restriction, Objection, and Data Portability

Any individual whose personal data is processed may request the Data Controller to:

  • access their personal data,
  • rectify inaccurate data,
  • erase personal data (“right to be forgotten”),
  • restrict processing,
  • object to processing,
  • receive their data in a structured, commonly used, machine-readable format (data portability).

In addition, any data subject has the right to object to the processing of personal data, in particular to profiling. To exercise these rights, please contact the Data Controller at biuro@ilumika.pl. The Controller will respond to requests within 30 days, which may be extended to 90 days in justified cases. Please note that erasure, restriction, or objection to processing may affect the ability to provide services or perform contracts. These rights do not apply where processing is required to comply with legal obligations or to pursue claims.

Where consent has been given for the receipt of commercial information by electronic means, the data subject has the right to withdraw consent at any time. This can be done by clicking the unsubscribe link in the message or by sending an e-mail to biuro@ilumika.pl.

VIII. Data Security

The Data Controller declares that it takes all reasonable technical and organisational measures to ensure a high level of data security. Any incidents affecting data security should be reported to: biuro@ilumika.pl.

The Controller may entrust data storage and/or processing to third-party entities providing hosting, automated marketing, or website optimisation services under written agreements, as well as to transport, logistics, courier, installation, or service companies when necessary for the execution of contracts or service requests.

IX. Final Provisions

Any individual whose personal data is processed has the right to lodge a complaint with the competent supervisory authority — in the UK, this is the Information Commissioner’s Office (ICO); in the EU, the authority competent for the Controller’s main establishment — if they believe that the processing of their personal data infringes applicable data protection law.

The Data Controller reserves the right to amend this Privacy Policy by publishing a new version on this Website.
